01 Data we collect
We collect only the data necessary to provide our service:
- Account information — name, email address, organization name, and phone number provided during registration.
- Institution data — student records, class schedules, grades, attendance, and other educational data you import or create within the platform.
- Usage data — pages visited, features used, and session duration, collected anonymously to improve the product.
- Technical data — IP address, browser type, and device information for security and diagnostics.
02 How we use your data
- To provide, operate, and improve the EtabSuite platform.
- To send transactional emails (verification codes, account alerts).
- To respond to support requests and communicate product updates.
- To detect and prevent fraud or security incidents.
- To comply with legal obligations.
04 Data retention
We retain your data for as long as your account is active or as needed to provide services. Upon account deletion, your data is purged within 30 days, except where retention is required by law.

- Request correction of inaccurate data.
- Request deletion of your personal data.
- Object to or restrict certain processing activities.

06 GDPR compliance
EtabSuite is committed to complying with the General Data Protection Regulation (GDPR) for users in the European Economic Area (EEA). As a data processor acting on behalf of educational institutions (data controllers), we ensure:
- Data is processed lawfully, fairly, and transparently.
- Data collected is adequate, relevant, and limited to what is necessary.
- Data is kept accurate and up to date.
- Data is stored securely and for no longer than necessary.

07 Security
We implement industry-standard security measures including TLS encryption in transit, AES-256 encryption at rest, role-based access controls, and regular security audits. No system is 100% secure; in the event of a breach we will notify affected users within 72 hours.
09 Children's privacy
EtabSuite is designed for educational institutions. When students under 13 (or the applicable local age) use the platform, it is under the supervision and consent of the institution and their parents or guardians. Institutions are responsible for obtaining necessary parental consents.
10 Changes to this policy
We may update this policy periodically. Material changes will be communicated by email and via an in-app notice at least 14 days before they take effect.
